ChatGPT prompts for painters (2026)

Painting jobs go wrong in the scope, not the brushwork. "Paint the living room" can mean walls only or walls, ceiling, trim and that water stain. Clear scope language is the most valuable thing ChatGPT can write for a painter, followed by prep instructions customers actually follow.
Give it your usual products, prep standards and warranty first. Leave out customer contact details.
Scope language that prevents arguments
- Notes to scope: "Turn these walk-through notes into a clear painting estimate for a homeowner: [notes]. Include rooms and surfaces, prep (patching, caulking, sanding), number of coats, sheen if known, what is excluded (furniture moving, wallpaper, major drywall repair), timeline, deposit and that the quote is valid for 30 days. Under 250 words, plain English."
- Good / better / best: "Create three painting options using these details and prices: [details]. Compare walls only vs walls plus trim/ceilings, one coat vs two, and any upgrade products. Keep it easy for a homeowner to choose."
- Explain prep cost: "Write a short, honest explanation of why prep (patching, caulking, sanding, masking) is a big part of the price on this job: [notes]. No scare tactics, under 120 words."
- Exterior weather note: "Write a short paragraph for an exterior paint quote explaining that start dates depend on temperature and rain, and what happens if weather delays us. Under 80 words."
Send finished quotes from Jobber or Housecall Pro so customers can approve and pay a deposit online, and use ChatGPT only to tighten the wording. For a fuller stack, see our AI tools for painting contractors guide.
Prep lists and customer texts
- Before we arrive: "Write a short text asking the homeowner to clear wall hangings, move small furniture to the center of rooms, and keep pets secured before our painting crew arrives on [day]. Under 50 words."
- Crew arriving: "Write a friendly text from a painting crew lead named [name] saying they are about 20 minutes out for [interior / exterior] work. Under 30 words."
- Rain delay: "Write an apologetic text delaying exterior painting because of [rain / high humidity / freezing overnight temps], with the new start day as [day]."
- Cure / re-hang reminder: "Write a short note telling the customer when they can re-hang pictures and when the paint is fully cured based on: [product notes]. Keep it practical."
A worked example: an exterior scope
"Write a clear scope for exterior repaint of a two-story house: power wash, scrape and sand loose paint, prime bare wood, caulk gaps, two coats of [product] on siding and one on trim, doors and shutters included, gutters not included. Note that rotted wood found during prep will be quoted separately. Bullet list, plain English."
Check the coat counts, the products and the exclusions. In homes built before 1978, mention lead-safe practices if you'll disturb paint. EPA's RRP rule usually applies to that work. Then paste the final scope into every quote of that type.
Following up on estimates
- Estimate follow-up: "Write a friendly two-line nudge about a painting estimate I sent [X] days ago. No pressure, offer to answer questions about colors or scope."
- Last follow-up: "Write a final follow-up email for an unanswered painting quote. Mention our schedule for [month] and offer to hold a start week until [date]."
- Neighbor / referral: "Write a short door hanger or text for neighbors after we finish a job on their street, offering [discount] if they book by [date]. Under 60 words."
- Cabinet / accent upsell: "Write a polite note after an interior paint job offering cabinet or accent-wall pricing as a next project, based on: [details]. No hard sell."
Crew job sheets
- Job sheet: "Turn these notes into a simple job sheet for my painting crew: [notes]. Include address placeholder, rooms/surfaces in order, colors and sheens, prep steps, furniture protection, and what 'done' looks like for the final walk-through."
- Color list: "Rewrite this messy color list into a clean room-by-room paint schedule: [notes]. Columns: room, surface, brand/product if given, color name/code, sheen."
- Punch list: "Turn these walk-through notes into a short punch list the crew can finish before final payment: [notes]."
- Translate: "Translate these crew instructions into Spanish, short sentences, no jargon: [instructions]."
Interior and exterior seasons
- Season calendar: "Make a 12-month marketing calendar for a painting contractor in [region]. For each month, list what to promote (interior winter specials, exterior spring booking, decks and fences, cabinets, holiday color refreshes) and one post idea."
- Spring exterior email: "Write a short email to past customers offering exterior painting slots for [season], with a booking link placeholder and a deadline of [date]."
- Door hanger: "Write door hanger copy for [interior refresh / exterior paint] in [town]. Headline, three bullets, offer, CTA. Under 60 words."
- Before/after caption: "Write five short Facebook captions for before-and-after painting photos: one interior, one exterior, one cabinet, one deck, one crew tip."
Most of these end up as a Canva graphic or a Mailchimp email. Either works.
Replying to reviews
- Positive review: "Reply to this 5-star Google review for my painting company: [review]. Start with their name, then mention the crew and the job type, under 50 words, no emojis."
- Negative review: "Write a calm public reply to this complaint: [review]. Acknowledge the concern, do not argue or share contract details, and invite them to call our office to make it right. Under 80 words."
- Review request: "Write a short text asking a homeowner for a Google review after we finished their [interior / exterior / cabinet] paint job today. Include a link placeholder, under 40 words."
Sending these by hand works until you get busy. After that, NiceJob or Podium automates it.
What ChatGPT gets wrong
- It fills gaps with confident guesses: prices, model numbers, code rules. Supply the facts yourself.
- Color advice from a model is generic. Use real samples in the customer's light.
- Coverage and dry-time numbers vary by product. Pull them from the product data sheet.
You don't need a paid plan for this. Free covers it, Go ($8/mo) is the cheap upgrade if you run into limits, and Plus is $20/mo. Pricing as of Oct 2026. For a side-by-side of other assistants, see ChatGPT vs. Claude, Copilot and Perplexity.

FAQ
Can ChatGPT write a painting estimate?
It can write the scope and explanation. You still measure, choose products and set the price. A good prompt includes rooms, surfaces, coats, products, prep and exclusions.
How can painters use ChatGPT for customer prep?
Ask for a short prep list by room (move furniture, remove wall hangings, pets, access) and a reminder text for the day before. It cuts down on day-one delays.
