ChatGPT prompts for appliance repair (2026)

Appliance repair has a built-in awkward moment: the diagnostic fee, then the part that takes ten days to arrive, then the customer asking whether they should just buy a new one. Good writing makes all three easier. ChatGPT handles the drafts while you're between calls.

Tell it your diagnostic fee, whether it applies to the repair, brands you service and your parts warranty. Don't paste model and serial numbers tied to customer names, or contact details.

Service-call texts

  • On my way: "Write a short, friendly text from an appliance tech named [name] saying they are about [X] minutes out for a [washer / fridge / dryer / dishwasher / oven] service call. Under 30 words."
  • Trip fee confirm: "Write a clear, polite text explaining our $[price] service call / diagnostic fee before we dispatch, what it covers, whether it applies toward repair if they approve, and ask them to reply YES to confirm."
  • Running late: "Write an apologetic text saying our tech is running about [X] minutes late because the previous repair ran long, and offer to reschedule if that does not work."
  • Parts needed / return trip: "Write a short text saying we diagnosed [issue in plain English], need to order [part type, no model inventing], ETA on parts is about [days], and we will book the return visit when the part lands. Under 60 words."
  • Food safety / fridge tip while waiting: "Write a calm text for a customer whose fridge is warm while they wait for us. Suggest keeping the doors closed, moving perishables to a cooler if needed, and calling back if they smell burning or see sparks. Do not invent repair steps. Under 50 words."

Repair-or-replace quotes

  • Notes to estimate: "Turn these notes into a clear appliance repair estimate for a homeowner: [notes]. Explain the problem in plain English, list labor, parts, trip/diagnostic fee, what is included, what is excluded (unrelated wear, cabinet damage, aftermarket mods), warranty on the repair, and that the quote is valid for 14 days. Under 220 words."
  • Repair vs replace: "Create two options using these details and prices: [details]. Option A: repair the [appliance]. Option B: replace with a comparable unit (customer buys appliance; we install if applicable). Explain when each makes sense for age, cost and remaining useful life. No scare tactics. Under 200 words."
  • Warranty vs out-of-warranty: "Rewrite these notes into a short explanation of what the manufacturer or home warranty covers vs what the customer pays: [notes]. Keep it clear, list what docs we need (proof of purchase, claim number), and next steps. Under 180 words."
  • Explain a line item: "Explain in two short paragraphs what [item, e.g. drain pump / evaporator fan / igniter / control board / door gasket] does and why it is on their estimate. Plain English, no scare tactics."
  • Multi-unit / landlord quote: "Turn these notes into a plain-English proposal for a property manager with [N] units needing appliance service: [notes]. Cover trip fee structure, after-hours rates, parts approval limit, and how we report completed work. Under 250 words."

Send finished quotes from Jobber or Housecall Pro so customers can approve online. ChatGPT is for the wording, not the parts catalog or OEM pricing.

A worked example: the parts-delay text

"Write a text to a customer whose refrigerator needs a new defrost control board. The part is on backorder, with an estimated arrival of [date]. Explain the delay, what they can do meanwhile (keep the door closed, use a cooler for essentials), confirm the $[price] repair total and that we'll call to schedule when it lands. Under 80 words."

Check the part name, date and price against your order. Sealed-system and refrigerant work requires EPA Section 608 certification, so keep any refrigerant repair wording tied to what your certified tech actually quoted.

Parts delays and follow-ups

  • Estimate follow-up: "Write a brief check-in text about an appliance repair estimate I sent [X] days ago for a [washer / fridge / dryer]. Friendly, no pressure, offer to answer questions about repair vs replace."
  • Parts arrived: "Write a short text saying the [part] arrived and offering two return-visit windows: [day/time options]. Ask them to reply with a pick."
  • Last follow-up: "Write a final follow-up email for an unanswered appliance repair quote. Mention openings on [days] and offer to hold a slot until [date]."
  • Referral ask: "Write a short text thanking a customer after we fixed their [appliance] and asking them to share our name with a neighbor who needs appliance repair. Under 40 words."

Job notes and tech handoffs

  • Clean up job notes: "Rewrite these rough notes into clear job notes for the customer record: [notes]. Sections: complaint, findings, work done, parts used (type only), test results, recommendations, follow-up needed. Strip serial numbers if not required."
  • Parts list draft: "Turn this job description into a draft parts list I will double-check against the model tag: [job]. Do not invent OEM part numbers."
  • Customer explanation of diagnosis: "Rewrite this tech diagnosis into a calm, plain-English explanation for the homeowner: [notes]. What failed, what we recommend, and what happens if they wait. No scare tactics. Under 150 words."
  • Translate: "Translate these job instructions into Spanish, short sentences, no jargon: [instructions]."

Marketing for an appliance shop

  • Season calendar: "Make a 12-month marketing calendar for an appliance repair shop in [region]. For each month, list what to promote (fridge before holiday cooking, washer/dryer before rainy season, oven before Thanksgiving, ice maker summer tips, landlord bulk service) and one post idea. Stay practical, no fear-mongering."
  • Holiday fridge / oven promo: "Write a short email to past customers offering priority booking for [fridge / oven / dishwasher] service before [holiday], with a booking link placeholder and a deadline of [date]. Under 120 words."
  • Property manager email: "Write a short email to apartment or property managers offering preferred pricing for in-unit appliance calls, with a dispatch phone placeholder and response-time note. Under 120 words."
  • Door hanger / flyer: "Write door hanger copy for [washer and dryer repair / fridge repair] in [town]. Headline, three bullets, offer, CTA. Under 60 words."
  • Before/after caption: "Write five short Facebook captions for appliance repair photos: replaced drain pump, new fridge gasket, dryer vent cleaned (no plate numbers or serials visible), dishwasher spray arm, oven igniter. Keep them humble and useful."

Drop the copy into Canva for flyers and posts, and send emails with Mailchimp.

Google review replies

  • Positive review: "Write a reply to this 5-star review of my appliance repair business: [review]. Start with their name, then mention the appliance type if they did, under 50 words, no emojis."
  • Negative review: "Draft a reply to this 1- or 2-star review: [review]. Stay calm, acknowledge the issue, do not argue, do not share model numbers or private job details, and invite them to call so we can make it right. Under 80 words."
  • Review request: "Write a short text asking a customer for a Google review after we finished their [appliance] repair today. Include a link placeholder, under 40 words."

If you keep forgetting to ask, NiceJob can send the request automatically when the job closes.

What ChatGPT gets wrong

  • Anything you don't tell it, it may invent. Check numbers, dates and warranty terms line by line.
  • It doesn't know a specific model's failure points or part numbers. Use the service manual and your parts supplier.
  • Safety issues (gas smell from a range, burning smell, water near electrical) need a human answer and a stop-use instruction.

You don't need a paid plan for this. Free covers it, Go ($8/mo) is the cheap upgrade if you run into limits, and Plus is $20/mo. Pricing as of Oct 2026. Claude and Copilot handle these prompts too. Our comparison covers the differences.

FAQ

Can ChatGPT help with repair vs. replace decisions?

It can help you explain the trade-off clearly using the numbers you give it: appliance age, repair price, typical lifespan and replacement cost. The recommendation should come from your tech's diagnosis.

How can appliance repair shops use ChatGPT for parts delays?

Ask for a short, honest status text with the expected date and what the customer can do meanwhile. Send it before they call to ask.
