ChatGPT prompts for carpet cleaners (2026)

Carpet cleaning complaints usually come from expectations, not results: the pet stain that was never going to come out, the furniture nobody moved, the carpet still damp at dinner. ChatGPT is useful for writing the expectations down before you show up, in quotes and prep texts customers actually read.

Give it your pricing by room or square foot, your cleaning method (hot water extraction, low moisture) and add-ons first. Don't paste customer addresses or gate codes.

Room-based quotes

  • Inquiry to quote: "Turn these details into a friendly carpet cleaning quote for a homeowner: [rooms/stairs/sq ft, pets, stains noted, price]. List what is included (pre-treat, hot water extraction, furniture moving if applicable), what is not, dry time expectations, and how to book. Under 200 words."
  • Rooms vs square footage: "Explain in plain English how we price by [rooms / square footage] using these rules and prices: [details]. Keep it clear for a first-time customer."
  • Pet stain / odor add-on: "Write a short, calm explanation of our pet stain and odor treatment add-on at $[price], what it covers, what results we can realistically promise, and that severe urine may need more than one visit. Under 120 words."
  • Upholstery / area rugs add-on: "Add a short option block for cleaning [sofa / dining chairs / area rugs] at $[prices] to this carpet quote: [quote text]. Keep the same tone."
  • Commercial / office bid: "Write a short proposal for carpet cleaning a [office / retail / apartment common area] of about [sq ft], cleaned [frequency]. Include scope, after-hours access note, furniture moving, insurance placeholder and price $[price]. Under 220 words."
  • Price objection: "Write a polite reply to a customer who says our quote is higher than another cleaner. Explain what is included (truck-mount or method, pre-treat, insured crew, furniture protection, satisfaction follow-up) without bashing competitors. Under 100 words."

Prep and booking texts

  • Confirm booking: "Write a short text confirming carpet cleaning on [day] between [window]. Ask them to vacuum if they can, secure pets, clear small items off the floor, and reply C to confirm. Under 45 words."
  • On my way: "Write a friendly text from a carpet tech named [name] saying they are about [X] minutes out. Under 25 words."
  • Quote follow-up: "Write a brief check-in text about a carpet cleaning quote I sent [X] days ago. Friendly, no pressure, mention an open slot on [day]."
  • Dry-time tip after job: "Write a short thank-you text after we finished cleaning their carpets today. Mention typical dry time of [X–Y hours], keep foot traffic light, and include a review link placeholder. Under 50 words."
  • Win-back: "Write a friendly email to past customers we have not cleaned for in [X] months, with a [offer] if they book by [date]. Under 120 words."
  • Recurring / maintenance plan: "Write a short text after a first clean inviting the customer to a [every 6 / 12 months] carpet maintenance plan at $[price], with a small discount of [offer]. Under 50 words."

If you quote and schedule often, run it in Jobber or Housecall Pro so customers can book and pay a deposit online, and use ChatGPT to tighten the wording.

A worked example: setting stain expectations

"Write a short, honest text for a customer with old pet urine stains in two bedrooms. We'll clean and use an enzyme treatment for $[price] per room. Explain that urine can permanently discolor fibers or soak into the pad, so some stains may lighten but not disappear, and that odor in the pad may need pad replacement. Under 90 words, friendly."

Check that it doesn't promise removal. If you follow IICRC cleaning standards or hold IICRC certification, say so in your own words. Customers searching for carpet cleaners often look for it.

Crew checklists

  • Job checklist: "Create a short on-site checklist for a residential carpet clean: protect floors/baseboards, pre-treat, method, furniture tabs, post-inspect with customer, payment. Bullet points a tech can check off."
  • Customer preferences: "Rewrite these customer preferences into clear crew notes: [notes]. Sections: rooms priority, pets, stains to focus on, fragrance preference, do-not-move furniture, entry instructions placeholder."
  • Stain found / expectation set: "Turn these notes into a polite message explaining a permanent stain or dye lot issue we found: [notes]. Set honest expectations and offer next steps. Under 100 words."
  • Translate: "Translate this crew checklist into plain Spanish a new crew member can follow: [checklist]."

Seasonal and niche marketing

  • Season calendar: "Build a simple 12-month promotion plan for a carpet cleaning business in [region]. For each month, list what to promote (spring deep clean, allergy season, back-to-school, holiday guests, post-holiday, realtor turnovers, pet season tips) and one post idea. Stay practical, no fear-mongering."
  • Spring cleaning email: "Write a short email announcing spring carpet and upholstery cleans for [offer], with a booking link placeholder and a deadline of [date]. Under 120 words."
  • Pet owner post: "Write a Facebook post for pet owners about carpet cleaning and odor treatment in [town]. Helpful tips, honest about what one visit can and cannot fix, soft CTA. Under 80 words."
  • Realtor / property manager pitch: "Write a short email to local realtors and property managers offering fast turnover carpet cleans with photo checklists and preferred pricing. Under 120 words."
  • Flood / water-damage note: "Write a calm FAQ answer explaining that we handle [carpet cleaning after minor water events / we refer extraction and drying]. Do not invent IICRC claims or mold remediation. Only use these facts: [facts]. Under 100 words."

Paste the post text into a Canva template. If you keep a customer email list, Mailchimp handles the sending.

Review replies

  • Positive review: "Write a reply to this 5-star review of my carpet cleaning business: [review]. Use their first name and mention the home or rooms if they did, under 50 words, no emojis."
  • Negative review: "Reply to this negative review about a stain or dry time: [review]. Stay calm, apologize, do not argue or share private job details, and invite them to call so we can make it right. Under 80 words."
  • Review request: "Write a short text asking a customer for a Google review after today's carpet cleaning. Include a link placeholder, under 40 words."

NiceJob can send the review request for you after each job.

Where ChatGPT falls short

  • Anything you don't tell it, it may invent. Check numbers, dates and warranty terms line by line.
  • Fiber and stain advice depends on the carpet. Test spots, and don't trust a draft on wool or silk.
  • Dry times depend on airflow and humidity. Give ranges, not promises.

All of these work on the free plan. Go at $8/mo gives you more messages and uploads; Plus at $20/mo is worth it only if you write long pages or use it daily. Prices checked Oct 2026. Prefer another assistant? See how ChatGPT compares.

FAQ

Can ChatGPT help carpet cleaners write quotes?

Yes. Give it room count, sizes, add-ons and your prices, and ask for a clear quote with what is included and how long drying usually takes. Check every price.

What prep text should carpet cleaners send?

A short day-before text: clear small items and breakables, where to park, pets away, and when the carpet will be dry enough to walk on. ChatGPT drafts it well from your notes.
