AI tools for upholstery cleaners (2026)

Updated Oct 17, 2026 · Prices as of Oct 2026 · Some links may be affiliate links (disclosure)

Upholstery cleaning is sold by the piece and won or lost on the care tag. A cream linen sofa marked "S" is a different job from a microfiber sectional marked "W," and quoting both at the same price is how cleaners end up with a ruined couch or a loss on the ticket.

Quoting from photos

Ask for three photos with every quote request: the whole piece, the worst stain up close, and the care tag. Then quote a range. A Quo line (from $15/user/mo) keeps those photos in a shared thread instead of your personal camera roll.

Know the codes. W means water-based cleaning is fine. S means solvent only. W/S allows either. X means no liquid cleaning at all, just vacuum or brush. If there's no tag, say so in the quote and test an inconspicuous spot first.

Set a price per piece in your field app so quotes are quick: sofa, loveseat, chair, ottoman, dining chair, sectional per seat, mattress. Add-ons go on separate lines: pet odor treatment, fabric protector, cushion zippers off.

Which field app

Most upholstery cleaners are also carpet cleaners, so the same software covers both. Housecall Pro (from $59/mo) and Jobber (from $29/mo) both do price books and online booking. Jobber's automatic client reminders start on its Connect plan. Housecall's good/better/best options are handy for selling protector. Jobber Core is cheaper to start.

Protect yourself before you touch it

Photograph every piece before cleaning, especially fading, sun rot, frayed seams, existing water rings and pet damage. Note it in the job and have the customer acknowledge it. Old stains often don't come out completely, and some fabrics can brown or shrink. A two-line pre-existing condition note in your job form prevents most arguments.

ChatGPT (free, or $20/mo for Plus) can write that note in plain language for you once, and draft the aftercare card: drying time, keep pets off, don't put cushions back on wet frames, run a fan.

Selling it on every carpet job

The cheapest new upholstery customer is your existing carpet customer. Put a line in your booking confirmation: "Want the couch done while we're there? Sofas from $__." A carpet cleaner doing 120 jobs a month who adds a $150 sofa to 1 in 10 bookings adds $1,800 a month without another truck roll. Your numbers will differ, but the logic holds.

Reviews

A before-and-after photo of a stained sectional is the best ad you'll get. Ask for the review right after the walk-through while the customer is looking at the clean fabric. NiceJob (from $75/mo) can send the request automatically if you keep forgetting.

A route day with upholstery add-ons

7:30. Three jobs on the route. Two are carpet with upholstery add-ons booked from the confirmation text; one is a sectional-only job quoted from photos.

At the first house, before touching anything, you photograph the sofa, the care tag (W/S) and the faded arm the customer forgot to mention. You note it in the job and the customer taps to acknowledge.

The sectional job turns out to be a pet-urine job once you smell the cushions. You add the odor treatment line on the spot and the customer approves it on your phone before you start.

After each job, an aftercare text goes out automatically: drying time, fans, keep pets off, cushions back on when dry. The next morning, a review request follows.

End of day: you log what each piece took. After a month, your per-piece prices are based on real times instead of guesses.

Monthly cost by size

  • Solo operator: Jobber Core ($29 annual) and Quo ($15). Ask for reviews by hand. About $44 a month.
  • Two vans: Housecall Pro Basic ($59 annual), Quo for two ($30), QuickBooks ($38) and NiceJob Starter ($75). About $202 a month.
  • Carpet company adding upholstery: no new software. Add per-piece items to the price book you already have.

Weak spots

Photo quotes miss odors and hidden urine. Price pet jobs after you've sniffed the cushion. Leather and antique pieces are specialist work; refer them out if you don't do them often. And no software prevents browning on a cotton blend. Your chemistry and drying setup do.

FAQ

What do the W, S, W/S and X cleaning codes mean?

They are care codes on many furniture tags. W means water-based cleaning, S means solvent only, W/S allows either, and X means vacuum or brush only, no liquid cleaning. Check the tag before you quote and photograph it for the job record.

Can I quote upholstery from photos?

Yes, for most pieces. Ask for a full photo of the piece, a close-up of the worst area and a photo of the care tag. Quote a range, and confirm on site before starting.

Is upholstery cleaning worth adding to a carpet cleaning business?

Usually. The equipment overlaps and the ticket is higher per hour on a sectional than on many rooms of carpet. Offer it on every carpet booking and in your review follow-ups.

How long does upholstery take to dry?

It depends on fabric, method, humidity and airflow. Many cleaners tell customers several hours to overnight and leave fans running. Give a range on the aftercare card and avoid promising a specific time.

Should I clean leather?

Only if you're trained and equipped for it. Leather needs different products and methods, and mistakes are expensive. Many upholstery cleaners refer leather and antiques to specialists.
