Best AI tools for caterers (2026)

The short answer: off-premise and wedding caterers should pick between Caterease and Total Party Planner. Both turn a menu into a proposal, a BEO and a pull sheet without retyping. If most of your catering is drop-off trays for offices, look at CaterZen instead. Then use AI for menu copy and proposal intros, never for quantities or allergens.

The software pays for itself the first time it stops you from forgetting chafing fuel, or under-pricing a 200-person wedding.

Ten days before a 180-guest wedding

  • Day -10, 9:00 a.m.: the couple confirms the final menu from the online proposal. The deposit already cleared months ago; the second payment is due today and the system sends the link.
  • Day -10, 11:00: guest count goes from 165 to 180. Quantities, staffing and the invoice update from the same record.
  • Day -7: the BEO goes to the kitchen and the event captain. Allergies are flagged per table: two nut-free, one celiac, four vegetarian.
  • Day -5: AI drafts the menu cards from your dish names and descriptions. You fix one that called the short rib "slow-roasted" when it is braised.
  • Day -3: rental orders are confirmed. The pull sheet lists every pan, chafer and serving utensil.
  • Day -2: staff confirmations by text: four servers, two bartenders, one captain, two cooks on site.
  • Day 0, 2:30 p.m.: load-out from the checklist. Nothing left on the shelf.
  • Day +1: actual food cost goes into the record so you can compare it with the quote.

Monthly cost for three kinds of caterer

Owner-operator doing 40 events a year. Caterease Express at $99 plus one added user at $28 is $127 a month, plus $400 in launch fees for two users. Or Total Party Planner's $119 plan with one added user at $25, so $144, with payments built in. Either lands around $1,500 to $1,900 in the first year, launch fees included. That is less than a typical deposit on one wedding.

Restaurant with a busy corporate catering side. CaterZen Pro at $179 a month and $499 once for start-up support. About $2,650 the first year. If online ordering adds even two $400 office orders a month, it is covered.

Established caterer with a sales team. Total Party Planner's $299 plan with two users, plus two more at $25, plus the $129 online ordering add-on: $478 a month. Caterease Professional at $199 with three added users is $283, plus launch fees. Compare what each includes before deciding on price alone.

Where AI actually helps a caterer

Mostly in writing, and a little in planning.

Menu copy. Short, appetizing descriptions for 60 menu items is a long evening. AI gets you a draft in minutes. Correct the cooking methods and keep it plain.

Proposal intros. A warm paragraph that repeats what the couple told you about their day makes the proposal feel personal. Feed it your notes.

Staff messages. A clear text with call time, address, parking, dress code and the event captain's name cuts the questions in half.

Prep timelines. Ask for a draft prep schedule working back from service time, then fix it with what you know about your kitchen and oven space.

Answer inquiries the same day

Couples and office managers usually contact three caterers at once. The first useful reply often wins the tasting.

A useful reply answers the questions they actually have: are you free on the date, what is your minimum, roughly what does a person cost for their style of service, and what happens next. Write that reply once with AI help, keep it in your catering software as a template, and send it within a few hours, even on weekends.

A shared business number with texting helps here, so whoever is on duty can answer without giving out a personal cell.

Setting it up before the busy season

  1. Enter your menu items with recipes, portion sizes and food cost per portion.
  2. Set staffing rules: guests per server by service style, bartenders per guest count, minimum hours.
  3. Build packages: plated, buffet, family style, stations, drop-off.
  4. Load your rental and equipment lists so pull sheets build themselves.
  5. Set payment schedules: deposit to hold the date, a second payment, and the balance before the event.
  6. Write your inquiry reply, tasting confirmation and post-event thank-you once, with AI help, and save them as templates.

Which software for which caterer

Wedding and social event caterer: Total Party Planner. Payments are included, the entry plan is fair for one user, and it handles the full event flow. Caterease is a close second, and cheaper if you can live without bundled payments.

Banquet hall or high-volume event business: Caterease Standard or Professional. It is a long-established event tool, and its $25 add-ins include a guest room manager and a prospect manager.

Corporate drop-off catering: CaterZen. Online ordering, delivery routing and reorder marketing are what drive this side of the business.

Very small or just starting: a spreadsheet for costing, a proposal template and an invoicing tool can work for your first 15 events. Move to real software before your first busy season.

Drawbacks to plan for

Setup is the hard part. Entering recipes and costs for every item takes days, and you will be tempted to skip it. Without it, the software just makes prettier wrong quotes.

Launch fees and per-user fees add up. Caterease charges $200 per user to launch, and both main tools charge for extra users.

AI writes confident menu copy that can be wrong about methods and ingredients. Guests with allergies read those cards.

And online proposals do not replace tastings. Most couples still decide with a fork in their hand.

FAQ

What is the best software for a small event caterer?

Caterease and Total Party Planner are the two most small off-premise caterers compare. Caterease Express starts at $99 a month on annual billing plus a $200 launch fee per user. Total Party Planner starts at $119 a month for one user with its payment processing included. Both build proposals, BEOs and pull sheets from your menu items.

What about drop-off and corporate catering?

If you sell trays and boxed lunches to offices, you need online ordering and delivery routing more than event planning. CaterZen is built for that, from $179 a month, with a one-time $499 start-up support package. Restaurants doing catering on the side often start here.

Can AI write my menus and proposals?

It is good at menu descriptions and proposal intros. Give it the dish, the main ingredients and the style of the event, and ask for short, appetizing descriptions without clichés. Do not let it write pricing, quantities or allergen claims; those must come from your recipes and costing.

Is it safe to use AI for allergen information?

Only as a formatting helper. Build your allergen matrix from your actual recipes and the labels on the products you buy, then let AI lay it out neatly if you like. A tool cannot know that your supplier changed the breadcrumbs this month.

How do I stop under-quoting events?

Cost every menu item from recipes, add staffing hours by role, rentals, travel and a buffer for waste, then apply your margin. Catering software does this math once the items are set up. Check your actual food cost against the quote after every big event for the first few months.
