Owner-operator or a fleet under 15 trucks: run dispatch and invoicing, plus IFTA reports, on TruckLogics, which is priced by fleet size from $35.96 a month. Find freight on DAT One from $59 a month. For ELDs and AI dash cams, get quotes from Motive and Samsara.
AI helps most with paperwork: reading rate confirmations and catching missing documents before you invoice.
One load, start to finish
- 5:45 a.m.: the driver starts the pre-trip. The ELD logs on-duty time.
- 6:30: you search DAT for a backhaul out of the delivery city tomorrow afternoon.
- 7:15: two calls with brokers. You settle a rate and get a rate confirmation by email.
- 7:20: AI reads the rate con and fills in the load: broker, rate, pickup window, delivery address, detention terms. You catch that the broker put the wrong weight.
- 7:30: dispatch sent to the driver's phone with directions and pickup number.
- 2:00 p.m.: the dash cam flags a hard brake. You check the clip: a car cut in. Saved, no coaching needed.
- Next day 4:00 p.m.: delivered. The driver photographs the signed BOL in the app.
- 4:30: invoice sent with the BOL and rate con attached. Fuel purchases and miles by state already logged for IFTA.

Yearly cost by fleet size
One truck, owner-operator. TruckLogics at about $432 a year, DAT One at $708 and a reported $300 for a basic ELD. Around $1,440 a year, under $125 a month.
Five trucks. TruckLogics Small Fleet is about $864 a year. Motive with AI dash cams, at a reported $38 a truck, is about $2,280. DAT at the entry tier adds $708. Around $3,850 a year, or roughly $64 per truck a month.
Twelve trucks. TruckLogics Mid-Size is $2,160 a year. ELDs and AI dash cams at the same reported rate are about $5,470. Add DAT and you are near $8,300, about $58 per truck a month. At this size an insurance discount from cameras can cover a real share of it, so ask your agent.
Paperwork AI can take off your plate
Back-office work is where a small fleet owner's evenings go. Most of it is typing and chasing documents.
Rate confirmations. Have AI pull the details into your load record and flag anything odd, like a detention clause that starts after three hours instead of two.
Broker emails. Short, firm messages about detention, lumper receipts, truck-order-not-used fees and late payments. Keep a template for each.
Document checks. Before invoicing, check every load has a signed BOL and rate con. Missing paperwork is one of the most common reasons broker payments run late.
Driver documents. Onboarding packets and safety meeting outlines written in plain words.
Cash flow comes first
Plenty of small carriers with steady freight still run short of cash. They wait 30 to 45 days to get paid while fuel is due today.
Your options are broker quick pay, which costs a small percentage of the invoice, or a factoring company, which buys your invoices for a fee that is often a few percent. Compare the real cost on a year of invoices before you sign, and read the contract for minimum volumes and recourse terms.
Software helps by getting invoices out the day of delivery with every document attached. Getting paid a day sooner on every load costs nothing, unlike any of those fees.
Getting cleaned up
- Pick one TMS and enter every active customer, broker and driver.
- Set up invoice templates that attach the BOL and rate con automatically.
- Connect fuel cards so purchases flow into IFTA records.
- Confirm your ELD is on FMCSA's registered list and drivers know how to use it in an inspection.
- Set dash cam alerts to the few behaviors that matter, so you are not flooded.
- Review cost per mile monthly: fuel, insurance, maintenance, payroll and software.
What I would set up
New owner-operator: TruckLogics Owner Operator, DAT One entry tier and a basic ELD. Spend money on the truck, not on software.
Three to seven trucks: TruckLogics Small Fleet plus Motive or Samsara with AI dash cams. Cameras pay off the first time they clear a driver.
Eight to fifteen trucks: TruckLogics Mid-Size, with a look at larger TMS options if you add a dispatcher or broker freight yourself.
Every fleet: a strict document check before invoicing. Clean paperwork is what gets you paid on time.
Where things break
ELD contracts can run multiple years with hardware fees. Read the cancellation terms before you sign.
Dash cams upset drivers if introduced badly. Explain why, show the exoneration clips, and coach in private.
AI misreads scanned rate cons. Check the rate and dates every time.
Load board rate data is a guide, not a price. Your costs per mile decide what you take.

FAQ
What software does an owner-operator need?
Four things: an ELD for hours of service, a load board, invoicing with IFTA fuel tax records, and a way to track expenses per load. TruckLogics' owner-operator plan is $35.96 a month on yearly billing and covers dispatch and invoicing, with IFTA reports built in. DAT One starts at $59 a month for loads.
Which ELD should a small fleet use?
Motive and Samsara are the common picks, and both quote by fleet. Third-party listings report Motive around $20 to $25 a vehicle a month for the ELD, and $35 to $40 with an AI dash cam. Whatever you choose, check it is on FMCSA's list of registered ELDs, because revoked devices have to be replaced.
Are AI dash cams worth it?
For most fleets, yes. They flag phone use and following too close, and the footage settles disputes after a crash. Some insurers give discounts, so ask yours before buying. Tell drivers how footage is used, and coach privately instead of punishing on the first alert.
Can AI read rate confirmations and BOLs?
Yes. AI can pull broker, rate, pickup and delivery details from a rate confirmation PDF into your system, which saves retyping and catches mismatches. Check the rate and accessorials before you dispatch. A wrong rate on a load is a fight you have later with the broker.
How can ChatGPT help a trucking company?
Use it for writing and checking: broker emails, rate negotiation notes, driver onboarding documents, safety meeting outlines and customer quotes. It can also explain a regulation in plain words, but confirm anything compliance-related with FMCSA sources or your safety consultant.
Do I need a TMS with five trucks?
Usually yes. By five trucks, spreadsheets start losing loads, and IFTA turns into a weekend job. A small-fleet TMS like TruckLogics at $71.96 a month for 3 to 7 trucks pays for itself if it gets invoices out one day faster.
