Best AI tools for termite control companies (2026)

Termite work is a different animal from general pest. The tickets are bigger, the paperwork matters more, and a single missed renewal or a sloppy report can cost you a customer for life or land you in a dispute. A liquid treatment might run $1,000 to $2,500 depending on the house and region, then turn into an annual renewal for years. Real estate WDI inspections are small fees with hard deadlines. The software has to keep both straight.

One day on the termite side

  • 7:30 a.m.: two real estate WDI inspections booked online by agents last night, both closing next week. The app puts them first because they are quick.
  • 8:00: first WDI. The inspector fills in the NPMA-33 form on a tablet, adds photos of mud tubes on the sill plate, and marks the house as showing evidence of past activity.
  • 9:10: the report goes to the agent and buyer from the truck. A treatment proposal is attached as a separate document.
  • 10:30: a full inspection on a homeowner's ranch house. The tech draws a graph of the foundation, 180 linear feet, and marks two areas of activity at the garage slab.
  • 1:00 p.m.: bait monitoring route. Twelve houses, each with stations scanned by barcode. One shows feeding. The app flags it for a follow-up visit.
  • 3:30: back at the office, the owner pastes the ranch house notes into ChatGPT and asks for a plain proposal with liquid and bait options. She fixes the footage, checks the prices against the sheet, and sends it.
  • 4:15: the renewal report shows 38 warranties due next month. Reminder texts and invoices go out automatically.

The renewal math

Here is why termite software earns its money. Say you have 400 active termite warranties at an average renewal of $250 a year. That is $100,000 in renewals. If paper reminders and memory lose 8 percent a year, you drop 32 renewals, or $8,000, plus the treatment upsell when one of those houses has new activity. Automatic reminders and card-on-file billing typically bring that loss down to a few percent. Even a $199 a month tool is cheap next to that.

Quoting a treatment without guessing

Most liquid treatment quotes come down to linear feet of foundation, construction type and access. A slab house with a finished garage needs drilling through concrete. A crawl space house needs someone on their back in the dirt. Build those as line items with your own per-foot rates so every tech prices the same house the same way. A homeowner who gets two very different numbers from your company will call someone else.

Photos help more than people think. A shot of the mud tubes, the damaged trim and the moisture problem goes on the proposal. Buyers and homeowners believe what they can see, and the photos protect you later if someone says the damage was never there.

What it costs by size

Solo inspector and treater. GorillaDesk Pro at $99 because you want e-sign for proposals and barcodes for stations. Quo at $15. ChatGPT free. Around $115 a month.

Four techs with a real estate WDI book. GorillaDesk Growth $149 plus three routes at $50 is $299. If one person does most of the WDI reports, a Spectora seat at $109 may produce cleaner reports faster than a custom form. Add Quo for two office users at $30. Total around $440 a month.

Regional company, 15 trucks. PestPac or FieldRoutes. Expect four figures a month based on reported prices, plus onboarding. At this scale the graphing, WDO compliance and audit trails matter more than the monthly fee.

Setup that holds up

  1. Pull every active warranty: address, treatment type, original date, renewal date and price. This list is your most valuable asset, so check it twice.
  2. Create separate service types for WDI inspection, full inspection, liquid treatment, bait install and bait monitoring.
  3. Build your WDI form or confirm the built-in NPMA-33 version matches your state.
  4. Load your warranty language as a fixed template. Do not let anyone rewrite it per job.
  5. Add every bait station to the property with a barcode, so scans tie to a location.
  6. Give agents a booking link for WDI reports with a same-day or next-day promise you can actually meet.
  7. Set renewal reminders at 30 days and 7 days, with a card-on-file payment option.

How AI fits in

Proposals are where AI saves the most time. A homeowner who just heard "termites" is scared and wants plain answers. Give ChatGPT your notes and graph details and ask for a one-page proposal with two options, what each covers, how long the warranty runs and what they need to do (move stored wood away from the foundation, fix the gutter that dumps on the slab). Then you check every number.

It is also good at translating a WDI finding for a nervous buyer. "Evidence of previous infestation, no live activity observed, previous treatment noted" reads like a death sentence to some people. A calm two-paragraph explanation, reviewed by you, can save a deal and earn an agent's loyalty.

Do not let AI fill in the WDI form itself. That report carries your license and sometimes your liability.

Our recommendation

Most termite companies under ten trucks should be on GorillaDesk Pro or Growth. It is month to month, handles renewals and barcoded stations, and the price is public. Go to PestPac if your WDI volume and commercial reporting demands outgrow it, or FieldRoutes if you sell Sentricon heavily and want the integration. A pure inspection shop with little treatment work could run on Spectora alone.

Downsides to know

Graphing tools vary a lot, and some techs will keep drawing on paper and photographing it. That is fine as long as the photo lands on the ticket. Enterprise contracts can run multiple years, and leaving means exporting years of warranty history, which is not always clean. AI drafts can sound confident about coverage you do not offer, which is exactly the kind of mistake that turns into a dispute. And WDI form requirements differ by state and lender, so whatever tool you pick, confirm the form before your first real estate job.

FAQ

What software handles NPMA-33 WDI reports?

Pest-specific platforms are your best bet. PestPac lists WDO and WDI reporting, and GorillaDesk supports custom forms and attached reports. Inspectors who only do real estate WDI work sometimes use Spectora, which includes the NPMA-33 form in its $109 a month plan. Check that the version matches what lenders in your state accept.

How do I track termite warranty renewals?

Treat every renewal as a recurring service with its own date and price, not a note in a customer file. GorillaDesk and the enterprise tools can bill renewals automatically and send a reminder 30 days ahead. A missed renewal is pure lost margin, since the annual inspection is quick and the customer already trusts you.

Can AI write a termite treatment proposal?

It can turn your inspection notes and graph into a clear proposal with options, what is covered and what is not. You must supply the linear footage, the treatment method and the price. Never let it invent warranty terms. The warranty is a contract, so the wording should come from your own approved template.

Should I offer liquid treatment or bait stations?

Most companies offer both and let the house decide. Liquid soil treatment is common for active infestations and pre-sale deadlines. Bait systems need ongoing monitoring visits, which builds recurring revenue. Your software should handle either one: a one-time job with a renewal attached, or a monitoring route.

How fast do real estate WDI inspections need to turn around?

Often within a day or two, because the report is tied to a closing date. Build a separate service type with a short duration and a same-day report delivery step, and let agents book online. Agents remember who got the report back fast.
