Best AI tools for piano, pool table and hot tub movers (2026)

Specialty moving is about access, not distance. A piano going two miles with a spiral staircase at the end is a harder job than one going forty miles into a ground-floor living room. Pool tables mean disassembly, slate handling and re-leveling. Hot tubs mean dollies, sometimes a crane, and a lot of yard. In each case, the quote lives or dies on how well you understand the path.

This guide combines our piano mover, pool table mover and hot tub mover guides. Plenty of small companies do all three.

Where specialty movers lose money

  • Quoting a "simple" move and finding five extra steps, a tight landing or a gate that's too narrow.
  • Trucks crossing town twice because jobs weren't grouped by area.
  • Damage disputes with no "before" photos.
  • Pool table and piano customers who also need re-felting, tuning or electrical hookup, so you're scheduling other trades too.

The access video changes everything

Ask every customer for a short phone video walking the path from where the item sits to the curb, and the same at the drop-off. Put the request in your auto-reply text. A 60-second video tells you about steps, turns, door widths, flooring and slope better than any phone call. Quote from it, and attach it to the job so the crew watches it before they arrive.

Item-by-item quoting notes

  • Pianos: upright, spinet, or grand and its size (baby grand vs. concert grand changes crew size and equipment). Grands need leg removal and a piano board. Offer tuning referrals, since pianos usually need it after a move.
  • Pool tables: slate or non-slate, one-piece or three-piece slate, table size, and whether they want re-felting. Disassembly, moving, reassembly and leveling is the standard package. Felt replacement is the upsell.
  • Hot tubs: size, dry weight, the path (gates, slopes, steps), the new pad or deck, and whether a crane is needed. Electrical disconnect and reconnect usually need a licensed electrician, so say who does it.

Condition reports protect you

Have ChatGPT draft a one-page pre-move condition form: item description, existing scratches, chips or loose parts, photos taken, and a customer signature line. Edit it to match your insurance and terms. Fill it out on your phone at pickup and attach it to the job. Disputes drop sharply when the customer has signed off on the "before" state.

A baby grand, second floor to ground floor

The video: 14 steps with a landing and a 90-degree turn, a front door 36 inches wide, and three brick steps outside. At the drop-off, a ground-floor room with one step down. The crew watched it before leaving the shop and brought the stair-climbing gear and a third mover.

On arrival: condition report on the phone. A small scratch on the lid is photographed and noted, and the customer signs. Then the legs and pedal lyre come off, the piano goes on its side on the piano board, and everything gets wrapped.

The stairs: forty minutes for 14 steps and the turn, with one person calling every move. Protecting the banister cost five minutes and saved a damage claim.

Drop-off: reassemble, level and photograph in place. You leave a card for a piano tuner you trust, because the piano will need it after the move. The invoice goes from your phone before the truck leaves the driveway.

Monthly spend, by size

One truck: Jobber Core ($29 annual), Quo Starter ($15) and ChatGPT free, about $44 a month. Two or three trucks: Jobber Connect ($99 annual), Quo for three ($45) and NiceJob Starter ($75), about $219 a month. One avoided damage dispute a year usually pays for the condition-report habit, and the habit is free.

Buying by size

  • One truck, owner-operator: Quo Starter, Jobber Core and ChatGPT free.
  • Two or more trucks: Jobber Connect or Housecall Pro for dispatch and routing, plus NiceJob for reviews.
  • Also doing household moves: look at a moving-specific CRM. See our movers guide.

What nobody mentions in the demo

No software measures a staircase for you. A bad video still means a bad quote. Insurance and liability terms are yours to set with an agent. Don't let an AI draft be your only contract language.

FAQ

How can I quote specialty moves without a site visit?

Use a structured request form that asks for the item (piano type and approximate size, pool table size and whether it is slate, hot tub dimensions and dry weight), pickup and drop-off addresses, every step and turn on both ends, door widths, and photos or a short video of the path. Most moves can be priced from that. Book a visit only for crane jobs, tight spiral stairs and unusual access.

What is the best way to document damage risk?

Take timestamped photos of the item and the path at pickup and delivery, all stored on the job in your field app. Jobber and Housecall Pro both attach photos to jobs. Pair that with a signed pre-move condition note, which ChatGPT can help you template.

Should specialty movers use general moving software?

Moving CRMs like SmartMoving are built for household moves with inventories and crews. For single-item specialty moves, a field service app such as Jobber or Housecall Pro is usually simpler and cheaper, unless you also run full household moves.

How do specialty movers price piano moves?

Usually by piano type and size, plus stairs, turns and distance, with extras for long carries or a crane. Price stair steps as a line item so customers see why two similar pianos cost different amounts.

Do hot tub moves need an electrician?

Disconnecting and reconnecting a hot tub is usually electrical work, and many areas require a licensed electrician. Say in the quote who handles it, and coordinate the date.

What should be in a specialty mover's condition report?

The item, existing scratches, chips and loose parts, photos taken at pickup, and a customer signature. Fill it out on your phone and attach it to the job.
