AI tools for fireplace and stove installers (2026)

Fireplace work has a short, frantic season. The first cold night in October brings a flood of "can you install a gas insert before Thanksgiving?" Most can't be done that fast once you add the unit lead time, the liner and the permit. Selling in August and setting honest dates is most of the battle.

Quote by fuel type
Gas inserts, wood stoves and electric fireplaces are different jobs. Set up a template for each in Housecall Pro (from $59/mo) or Jobber (from $29/mo), with lines for:
- The unit and any blower or remote
- Venting or chimney liner, with length
- Gas line or electrical work, and who does it
- Surround, trim, hearth extension or protection
- Removal of old equipment
- Permit and inspection
Ask for photos of the existing firebox, the chimney top and the gas meter. That gets you 80% of the way to a quote.
Clearances and venting
Clearances, hearth protection and venting come from the unit's listing, the manufacturer's instructions and local code, often with NFPA 211 as a reference. Don't let ChatGPT (free, or $20/mo for Plus) tell you a clearance number. Get it from the manual. Where ChatGPT helps is writing the customer explanation of why the liner adds $1,100 to the job.
Book the fall in summer
Send past customers and quote holdouts a note in July and August: "Insert installs for this season are booking through mid-November. Want a slot?" Send from a Quo line (from $15/user/mo). Put the lead time in the quote. A customer who knows it's six weeks in August is happy; one who learns it in November isn't.
Service and sweeps
Annual gas fireplace service and chimney sweeps are recurring revenue. Set reminders by install date in your field app. If you don't sweep, partner with a chimney sweep and refer both ways.
Example quote
Illustration only. Gas insert at $3,200, 25-foot liner at $1,100, gas line by your plumber at $650, new surround at $450, old insert removal at $200, permit at $150. Total $5,750. Without the liner and gas lines spelled out, the customer compares your $3,200 to a big-box price and walks.
Texts that cut the phone calls
- Order placed: "Your insert is ordered. The maker quotes 4 to 6 weeks. We'll text a delivery date as soon as we have it."
- Permit status: "Permit is filed with the city. Inspection is usually within a week of install. You'll need to be home for it."
- Before install: "We'll be there at 8. Please clear 6 feet in front of the fireplace and move anything on the mantel."
Insert install, start to finish
August: a customer asks about a gas insert. You ask for photos of the firebox, the chimney top and the gas meter. From those you see the chimney needs a liner and the gas line will need extending.
The quote lists the insert, the 25-foot liner, the gas line by your plumber, the surround, removal of the old unit and the permit. The customer signs and pays the deposit.
You order the insert and file the permit. The order text goes out with the maker's lead time.
Install day in September: old insert out, liner in, gas line connected by the plumber, insert set, surround trimmed. You test and show the customer how to operate it.
Inspection: the inspector checks it. You send the final invoice and put an annual service reminder on the calendar.
Cost by shop size
- One installer: Jobber Core at $29 billed yearly and one Quo line at $15. That is $44 a month.
- Showroom and two trucks: Housecall Pro Basic ($59 annual) or Essentials ($149), Quo for three ($45), QuickBooks ($38). $142 to $232 a month.
Annual service visits fill the slow months. Two hundred customers on a yearly service at $150 is $30,000 of predictable work. Your app's reminders do the selling.
Electric fireplaces are the easy add
Electric fireplaces need no venting or gas line, and many plug in or need only a dedicated circuit. That makes them a quick sell for condos, bedrooms and homes without a chimney. Margins on the unit are usually thinner, but install time is short. Offer them as an option when a gas insert isn't practical, and say what the customer gives up: real flame and heat output. Check the unit's electrical requirements and whether a wall-mounted unit needs blocking. For new construction and remodels, coordinate with the GC early so the circuit and framing are ready.
What can go wrong
Old chimneys hide surprises: cracked flue tiles, missing liners, damaged crowns. Inspect before quoting. Wood stoves in some areas face burn restrictions. And carbon monoxide alarms should be part of every handoff conversation.

FAQ
Do fireplace and stove installs need permits?
Usually. Gas lines, new venting, chimney liners and wood stoves commonly require permits and inspections. Rules vary by jurisdiction; check before you schedule.
What should a fireplace insert quote include?
The unit, venting or liner, gas line work if needed, surround or trim, removal of old equipment, permit and inspection, and any masonry repair. Note who handles the gas line and electrical.
Can I install a wood stove in any house?
Not without checking. Clearances to combustibles, hearth protection and chimney or vent requirements come from the stove's listing and local code. Many areas also require EPA-certified wood stoves.
When should I start booking for fall?
July and August. Unit lead times, liners and permits can add weeks, and customers who call in October often can't be done before the holidays.
Do gas fireplaces need annual service?
Most manufacturers recommend periodic service. Checking the burner, pilot, glass seal, venting and safety controls each year is a common recommendation. It's also good recurring work.
