Updated Oct 17, 2026 · Prices as of Oct 2026 · Some links may be affiliate links (disclosure)

Studio under 250 students: start with Studio Director at $39 to $79 a month with its payments, or Akada at a flat $60. Growing studio or several locations: look hard at Jackrabbit Class, from $49 a month by student count. Put tuition on auto-pay, then use AI for the endless parent emails and recital paperwork.

The software runs the money. AI handles the writing that eats your Sunday nights.

A week in recital season

  • Monday 9:00 a.m.: tuition auto-pay runs for 180 students. Seven cards fail and parents get an automatic update link.
  • 10:30: you paste the costume list into an AI assistant and get a clear letter for each class with what to buy and the due date.
  • 1:00 p.m.: recital order of the show drafted with AI help from your class list. You fix two quick-change conflicts it missed.
  • 4:00: classes start. Teachers take attendance on a tablet in the portal.
  • Wednesday: the dress rehearsal schedule goes out by email and text, with call times by class.
  • Friday: a parent asks about make-up classes for a missed week. Your saved reply, drafted once with AI, answers in a minute.
  • Saturday after the show: a thank-you email to families with next season's registration link, scheduled the night before.

Studio Director, Akada and Jackrabbit prices were read on their pricing pages Oct 17, 2026. Jackrabbit's exact tier depends on your student count at month end.

What you will pay

Small studio, 80 students. Studio Director with its payments is $39 a month, $468 a year. Akada is $720. Either is less than one student's yearly tuition.

Mid-size studio, 180 students. Studio Director is $79 a month with its payments or $119 without, so $948 or $1,428 a year. Akada stays at $720. Get Jackrabbit's tier for 180 students and compare.

Multi-location, 600 students. Studio Director is $149 with payments. Jackrabbit Enterprise at $245 a month, $2,940 a year, adds business dashboards across locations. Here the deciding factor is reporting and staff permissions, not the monthly fee.

The money that matters more than software

Payment fees dwarf the software bill. At 180 students paying an average of $95 a month, tuition is $17,100 a month. Card fees at a typical 2.9 percent plus 30 cents come to about $550 a month.

Getting families onto bank transfer (ACH), which usually costs much less, can save more each year than the software costs. Offer it at registration and make it the easy choice.

Late and failed payments can cost even more. Automatic retries and a written late policy fix most of it.

Where AI saves the most time

Parent communication. Weekly emails, closure notices, schedule changes, picture day. Write once with AI, save as templates, send from the studio software.

Recital paperwork. Costume letters, the show order, volunteer sign-up text, program copy.

Class descriptions. Clear, honest descriptions by age and level help parents pick the right class and cut placement questions.

Staff handbook. A first draft of policies for teachers, which you then edit to fit how you actually run.

Filling classes before fall

Summer is when next year's enrollment is won. Families decide in July and August, often after one trial class.

Offer a free or low-cost trial week, and follow up the same evening with a short note from the teacher and a registration link. AI can draft that note in your voice so it goes out every time, not only when you remember.

Ask current families to re-register before you open spots to new ones, with a small early discount. Then post class photos and short videos (with permission) a few times a week through August.

Track trial-to-enrolled by class. If one class converts far worse than the rest, the issue is usually the time slot or the age range, not the marketing.

Setting up for the next season

  1. Build classes with age ranges, levels, capacity and tuition before registration opens.
  2. Write your policies: auto-pay, late fees, refunds, make-ups, recital fees, costume deadlines.
  3. Turn on online registration with policy sign-off and a registration fee.
  4. Set auto-pay as the default and offer ACH.
  5. Draft your season of emails with AI help and schedule the first few.
  6. Put recital dates on the calendar now, including costume order deadlines.

Which one I would choose

One studio, under 250 dancers: Studio Director with its payments. Low price, and built for dance.

Studio that hates tier jumps: Akada. $60 flat no matter how you grow.

Several locations or a competition team program: Jackrabbit. It is built for multi-location programs, and its reporting scales with you.

What to watch

Tier pricing jumps at student-count thresholds. Know where the next tier starts before your fall enrollment push.

The cheaper Studio Director price requires its payment processing. Compare the processing rates, not just the subscription.

AI writes confident schedules with wrong times. Check every date against your calendar.

Student photos and names need parent permission. Keep them out of AI tools and public posts without it.

FAQ

Which software do most dance studios run on?

Jackrabbit Class is one of the best-known options, with pricing that starts at $49 a month and rises with your student count. Studio Director and Akada are the main alternatives built for dance. All three handle registration and tuition billing, and each has a parent portal.

Which dance studio software is cheapest?

For a small studio, Studio Director is $39 a month for up to 100 students if you use its payment processing, or $65 without it. Akada is a flat $60 a month with every feature. Jackrabbit starts at $49 and goes up by student count.

How can AI help with recital season?

It drafts the paperwork: costume order letters, the recital schedule email, rehearsal reminders, the program text and thank-you notes to volunteers. You still check every date, room and class name, because one wrong call time means a crying six-year-old in the wrong hallway.

Should I require auto-pay for tuition?

Studios that switch to auto-pay usually collect more and chase less. Make it the default at registration, offer ACH as well as cards, and set a clear late fee in your policy. Your studio software handles the monthly runs and failed-payment notices.

Can AI write parent newsletters?

Yes. Give it this month's dates and one class highlight, and ask for a short, warm email. Keep student names and photos out unless parents have agreed to it, and read every line before it goes out.

Do I need a separate app for parents?

Usually not. The parent portals in Jackrabbit, Studio Director and Akada cover schedules and balances. Jackrabbit Plus adds a custom-branded app from $93 a month, which some larger studios like for messages and recital updates.
